10 Things to Consider BEFORE Booking Your Wedding Reception Facility
 
Atmosphere, setting, view, layout, amenities, décor, staff, and experience – all of these play a role in choosing where to have your Wedding or Event. Here are some questions to ask prior to booking that ‘perfect’ venue. It may fit all you desire but it’s better to realize if there’s a problem before you place a deposit than after.
 
1.         Will the facility work with your Entertainment or Event Planner to achieve the desired atmosphere for your reception regarding layout, agenda, timeline &  special touches?
 
2.         Do they require you to use their on-staff coordinator? If not, do they require you to use a coordinator in order to use their facility?
           
3.         Do they require you to hire theirVendors (Entertainment, Photographer, Videographer, Celebrant, Florist, Baker)?
 
4.         If the facility has a package that includes vendors, may you substitute a vendor of  your choice? If so, do they still charge you that vendor’s fee in you package            and/or do they charge a substitution fee?          
 
5.         What time does music need to be finished? (Note: this isn’t the same time you need to end by. If you are in a hotel the end time may be 11:00PM but the music may need to be off by 10:00PM). This may put an unexpected dent in the fun           that everyone is having if not planned for in advance.
 
6.         Will there be other weddings or events happening at the same time as yours OR are you in a specific time slot (say, 11AM – 4PM) and MUST end at that time irregardless if you want to continue your reception, because another event is             scheduled at 6PM?
 
7.         Does the room have flexible lighting options for natural & electrical lighting? Are the lights “On’ or “Off” or are they on dimmers? Are there window shades to close to darken the room for dancing if you’re planning a daytime reception?
 
8.         Will the facility fit all of your guests in one room or will some guests be required to sit in an overflow room? In the case of an “L” shaped room, how many guests will be ‘around the corner’ out of view of the head table/dance floor? This is a distraction for guests at your reception if they may not be able to see/hear all the special moments you have planned.
 
9.         Does the facility have enough parking places for your guests?
 
10.       Is adequate electrical power available for your DJ or other entertainment? (i.e. separate circuit, not shared with kitchen appliances (especially coffee brewers!) or generators.
